More Than Freight. It's Connection.

Our 8-Step Freight Execution Roadmap

Reliable logistics is not about promises; it is about disciplined operational execution. Here is the exact end-to-end procedure RAIVEGA follows for every international commercial shipment.

01
Phase 1: Discovery & Verification

Initial Cargo Inquiry & Information Checklist

An accurate quote and smooth transit start with complete shipment specifications. To avoid unexpected carrier adjustments or customs holds, we request essential parameters upfront:

Gross Weight & CBM: Volume and payload
HS Code (6–8 digit): Tariff classification
Cargo Readiness Date: Ex-factory availability
Incoterms 2020: FOB, CIF, EXW, DAP, etc.
Packaging Format: Pallets, crates, drums, bags
Dangerous Goods: MSDS & UN class (if hazmat)
02
Phase 1: Discovery & Verification

Route, Mode & Intermodal Evaluation

We analyze routing alternatives across speed, cost, reliability, and cargo sensitivity. We do not just choose the cheapest headline price; we evaluate:

  • Direct vs Transshipment Ocean Services: Evaluating the trade-off between transit speed and transshipment rollover risk at intermediate hub ports (e.g. Colombo, Singapore, Jebel Ali).
  • Mode Suitability: Comparing FCL (Full Container) vs LCL (Groupage consolidation), or evaluating sea-air hybrid solutions when deadlines are tight.
  • Inland Corridor Logistics: Evaluating road drayage turnaround schedules, CFS handling, and direct transport to coastal gateways (Nhava Sheva, Mundra).
03
Phase 2: Commercial Clarity

Itemized Quotation with Explicit Inclusions & Exclusions

Freight forwarding disputes arise when quotes hide local port charges. RAIVEGA presents line-item clarity with zero ambiguity:

Clear Inclusions
Base ocean/air freight, carrier fuel (BAF), currency adjustment (CAF), origin terminal handling charges (THC), standard BL fees, and origin export documentation.
Transparent Exclusions
Destination customs duties & GST/VAT, destination THC (unless DDP/DAP terms), storage or demurrage beyond contracted free days, and customs physical examination fees if assessed by government authorities.
04
Phase 2: Commercial Clarity

Quotation Approval & Booking Placement

Once the quotation is approved in writing by your commercial team:

  • Carrier Allocation: We place the booking with the designated shipping line or air carrier for the agreed vessel/flight schedule.
  • Booking Confirmation (SO / CRO): We issue the official Shipping Order and Container Release Order allowing empty equipment pickup from the container yard.
  • Critical Cut-Off Timetable: We notify you of exact terminal cut-off dates: SI (Shipping Instruction) cut-off, VGM (Verified Gross Mass) cut-off, and Port Gate-In cut-off.
05
Phase 3: Operational Movement

Cargo Handoff, Surface Drayage & Port In-Gating

Depending on your operational preference, cargo execution proceeds along two proven paths:

Factory Stuffing
Empty container is positioned at your manufacturing unit for direct loading, followed by bottle sealing under excise/self-sealing protocol and inland road cartage.
CFS Consolidation
Cargo arrives via domestic truck at the designated Container Freight Station (CFS) for professional palletization, strapping, and loading into the container.
06
Phase 3: Operational Movement

Export Documentation & Port In-Gate Staging

Documentation errors and mismatched declarations are the primary cause of shipment delays. Our dedicated operations team coordinates:

  • Pre-Filing Document Verification: Checking commercial invoice, packing list, certificate of origin, and bank authorization details.
  • VGM & Form-13 Validation: Validating Verified Gross Mass (VGM) certificates and electronic Form-13 terminal gate passes.
  • Terminal Gate-In & Loading Order: Facilitating document appraisal, container yard staging, and securing loading authorization prior to vessel cutoff.
07
Phase 4: Transit & Exceptions

Voyage Execution, Milestone Tracking & Exception Escalation

We monitor your consignment throughout sea voyage or flight transit with proactive milestone notifications:

Milestones Tracked: (1) Port In-Gate → (2) Vessel Loaded → (3) Actual Time of Departure (ATD) → (4) Transshipment Hub Arrival & Connection → (5) Destination Arrival → (6) Container Discharged.

Exception Protocol: If a shipping line announces a schedule blanking, weather detour, or transshipment rollover, we notify you immediately with alternate feeder options and revised arrival estimates—not after the delay has occurred.

08
Phase 4: Transit & Exceptions

Cargo Discharge, Final Delivery & Reconciled Invoicing

The shipment cycle concludes with verified physical delivery and transparent commercial closure:

  • Delivery Order (DO) Issuance: Coordination of ocean carrier freight release, payment of arrival dues, and DO issuance to destination consignee or broker.
  • Final Mile & Empty Container Turn-In: Destuffing at consignee facility and prompt de-hire return of empty container to avoid detention charges.
  • Documentation Package & Clean Invoice: Providing signed Proof of Delivery (POD), final bill of lading, and an itemized invoice matching the approved quote exactly.
